Hi, I’m Deanne, founder of KAOS Group, and this is KAOS Chronicles.
Every issue goes behind the scenes on the complexity that quietly slows businesses down – and I’m not just writing about it from the outside. We’re in it too. Building the workflows, designing the systems, and doing the real work of adoption that makes consistency stick. I share what we’re seeing, what we’re solving, and what’s actually working – so owners, leaders, and stakeholders can grow, scale, or sell on their terms.

THIS EDITION: When the Owner Is the System
This edition is a single story – one clinic, one comprehensive transformation, and what became possible when operations stopped depending on one person to hold everything together.
The results speak for themselves: $400–700 in monthly cost savings, a 23% increase in room utilization, and new hires reaching full productivity in half the time. But the number that matters most? The owner finally had visibility into her own business.
Here’s how it unfolded. ↓
ORGANIZE
Establishing clarity and structure as the foundation.
Streamlined processes replace hiring overwhelm
A growing clinic was spending countless hours managing applications – sorting through emails, tracking candidates manually, and conducting initial screenings that consumed valuable clinical time. Every new hire started from nearly scratch, with the owner personally managing the entire process.
We developed a systematic hiring process using Google Forms for video applications, integrated personality testing, and automated notifications. Candidates now move through a structured evaluation process, and the team can review applications systematically rather than hunting through email threads.
→ Solution: Map your current hiring workflow from initial application to first day. Identify bottlenecks where information gets lost or time is wasted. Then build a step-by-step system using tools you already have (forms, automated emails, shared tracking sheets).
OPTIMIZE
Refining systems and ensuring successful implementation.
Living documentation empowers teams
The clinic had processes that existed only in the owner’s head or scattered across random documents. New team members took months to reach effectiveness, and the owner was constantly interrupted with questions that previous hires had already asked.
We created comprehensive Standard Operating Procedures (SOPs) for all key business functions – Team Operations, Admin Operations, and Clinic Management. The entire Google Drive was organized with structured, documented processes. Five core operational folders now contain corresponding SOPs covering everything from onboarding to clinical resources to financial tracking.
The result? 75-85% improvement in team compliance across room utilization, revenue tracking, and administrative procedures. New hires now reach full productivity in half the time.
→ Solution: No need to try to document everything at once. Start with your most repeated questions or tasks that cause the biggest disruptions when handled inconsistently. Document 2-3 core processes per month, and make reviewing/updating SOPs part of your quarterly routine.
PROFIT
Translating organization and optimization into measurable business results.
Strategic tech stack utilization eliminates unnecessary costs
The clinic was paying for over-engineered systems that required excessive management time while basic processes remained nonexistent. They had expensive tools sitting unused while critical workflows were handled manually in spreadsheets.
We maximized their existing tools – fully optimizing their Jane booking software, leveraging Google Drive capabilities, and creating powerful tracking systems with spreadsheets and forms. The outcome? Operational cost savings of $400-700 monthly (nearly $10,000 annually), plus 98% accuracy in sub-contractor performance calculations and a 23% increase in room utilization.
Most importantly, the owner gained complete visibility into clinic performance and profitability – transforming from reactive to strategic business management.
→ Solution: Before buying new software, audit what you already have. Most businesses use only 20-30% of their existing tools’ capabilities. Invest time in maximizing current systems before adding new subscriptions.
About KAOS Group
There comes a point in every growing organization where operations can’t quite keep up with ambition. Work gets done – but not always consistently. Knowledge lives in people rather than systems. And growth starts to feel harder than it should because everything still runs through the same handful of people.
That’s the work we do at KAOS Group.
Through our Organize. Optimize. Profit. methodology, we work with owners, leaders, and stakeholders to build the behind-the-scenes systems that let businesses scale, sell, or run without depending on any one person.
This is where you come in.

No agenda. Simply a conversation.
The most valuable businesses run, grow, and sell on the strength of their systems — not the memory of their people.
Deanne Kelleher, Founder and Principal of KAOS Group, builds and implements the behind-the-scenes systems that turn operational complexity into scalable, transferable operations – recovering time, recapturing revenue, and freeing businesses to grow, scale, or sell on their own terms.
