Hello!

It’s Deanne here with Tips from the Field to optimize your behind-the-scenes systems.

Here’s something that might surprise you: A recent study found that business owners spend an average of 68% of their time working IN their business rather than ON it. When you’re constantly firefighting, there’s no capacity for strategic growth.

The common thread? Businesses that systematize their operations don’t just save time – they create the mental space and operational clarity needed for sustainable growth and profitability.

Tips from the Field

ORGANIZE
Establishing clarity and structure as the foundation.

Document organization transforms operational overwhelm

A rapidly growing mental health clinic was struggling with scattered files – marketing materials spread across multiple folders, clinic forms buried in email chains, and critical documents accessible only to the owner. Staff couldn’t find what they needed, and the owner spent hours hunting down information.

We consolidated everything into centralized, properly-permissioned folders with clear naming conventions. Marketing materials, clinic forms, HR documents, and operational resources now have designated homes that everyone can access based on their role.

→ Solution: Start with your most frequently accessed documents. Create a logical folder structure with clear naming conventions, then document where everything lives in a simple directory guide.

OPTIMIZE
Refining systems and ensuring successful implementation.

Automated notifications eliminate costly oversights

The clinic was manually tracking contract expirations, insurance renewals, and registration deadlines in various spreadsheets. Critical dates were being missed, causing compliance issues and unnecessary stress.

We implemented conditional notifications for all expiring dates – contracts, insurance policies, professional registrations, and vendor agreements. Now the system automatically alerts the right person at 60, 30, and 7 days before expiration.

→ Solution: Identify your critical deadlines – what could cause operational disruption or compliance issues if missed? Build automated reminders using your existing tools (think of spreadsheets with notification rules, or built into your practice management software).

PROFIT
Translating organization and optimization into measurable business results.

Complete visibility creates strategic capacity

The clinic owner was juggling client care with sub-contractor management, financial tracking, and team oversight – never quite sure if the business was profitable or just busy. Important decisions were delayed because the data wasn’t easily accessible.

We developed a financial dashboard system providing real-time visibility into cash flow, room utilization, and practitioner performance. The owner recovered 8.5+ hours weekly and gained the clarity needed to make strategic decisions with confidence.

The transformation? Direct time savings of 4.5 hours weekly in administrative tasks plus 4+ hours recovered from searching, following up, and managing behind-the-scenes work. That’s capacity for 2-3 additional client appointments weekly, business development, or strategic planning.

→ Solution: Build a dashboard tracking your top 5-7 critical metrics. Update regularly with automation. When you can see your business performance at a glance, you make better decisions faster.

Organize. Optimize. Profit.
The KAOS Group methodology delivers immediate results.

The beauty of this framework is how each element reinforces the others. Organized systems enable optimization through automation and structure, which drives profit through time savings and strategic clarity, which provides resources for better systematization.

As you head into year-end, ask yourself: What would become possible if you had 8+ hours weekly back in your schedule and complete clarity on your business performance?

If you have questions about systematizing parts of your business then you’re likely ready for an Insight Session to clearly identify where you’re doing well and uncover the gaps of opportunity.
